Van Hire Procedure

VAN HIRE PROCEDURE

  • Hire Duration: All vans are available for 24-hour hire.
  • Mileage Limit:
    • One-day hire: 250-mile limit applies.
    • More than one day: Unlimited mileage.
    • Excess mileage charges:
      • 20p + VAT per mile for vans.
      • 50p + VAT per mile for minibuses.
  • Age Restrictions: Drivers must be between 25 and 74 years old.
  • Booking Deposit: A £50 deposit is required at the time of booking.
  • Additional Drivers:
    • Each extra driver costs £10 per day.
    • They must provide all required documents and pass relevant checks.
  • Hire Deposit & Insurance Excess:
    • Standard hire deposit: £500.
    • Optional Insurance Excess Waiver:
      • Costs £15 per day.
      • Reduces hire deposit to £250.
      • Reduces insurance excess from £1,250 to £250.
  • Fuel Policy:
    • Vans are supplied with a full tank of fuel.
    • If not returned full, a £2.00 per litre charge applies.
  • Customer Responsibility:
    • The hirer is responsible for any overhead, windscreen, glass, or tyre damage.
    • Example: If the hirer damages the roof by driving under a low bridge, they are fully liable for repairs.
  • Payment Methods:
    • All payments must be made by debit/credit card.
    • Card details must be recorded on the rental agreement form.

VEHICLE COLLECTION & RETURN

  • Collection & Return Location:
    • All vans must be collected and returned to:
      A to B Self Drive, Eden Works, Colne Road, Sough, BB18 6SY unless otherwise arranged with management.
  • Standard Collection Times:
    • Hire period is based on a 24-hour basis, starting at 8:30 AM or 5:30 PM.
    • Weekend Hire: Saturday collections must be made before 12 noon, with return arrangements confirmed at booking.
  • Customer Vehicle Parking:
    • Customers may leave their vehicle on-site at their own risk.
    • A key must be left with us in case it needs to be moved.

    All drivers must be present at vehicle collection and bring the following:

    Driving Licence:

    • Their photo card driving licence.
    • If the licence is a non-photo paper licence, they must also provide a valid passport.
    • If the hirer holds a non-UK driving licence, we must be notified at least one working day in advance.

    Non-UK licence holders or hirers with a non-UK address must also bring a valid passport.

    Proof of Address:

    • A utility bill, bank statement, or payslip (must be dated within the last 90 days).
    • Electronic copies are acceptable (can be shown on a phone, tablet, or device).
    • Mobile phone bills are NOT accepted.

    Driving Licence Check Code:

    Can be retrieved from www.gov.uk/view-driving-licence.

    Licence details must be printed within 72 hours before collection.

  • Additional Notes:

    Payment:

    • Drivers must pay with a credit or debit card in their own name.
    • If the booking is under a business name, a business card must be used.
    • We do not accept: Cash, AMEX, Visa Electron, Solo, or any prepaid/top-up cards.

    Driving Convictions/Endorsements:

    • If a driver has any convictions/endorsements from the last 5 years, they must notify us at the time of booking.
    • Some convictions/endorsements may prevent our insurer from providing cover, which could affect eligibility to hire a vehicle.

What documents do I need to hire a van?

To hire a van, you will need to provide the following:

  • A valid UK driving license
  • A utility bill (dated within the last three months) as proof of address
  • A passport (for identification purposes)
  • A driving licence check code, which can be retrieved from GOV.UK
  • Alternatively, your National Insurance number may be required

What is the minimum age to hire a van?

The minimum age requirement for all van hires is 25 years old.

Is insurance included in the van hire cost?

Yes, our van hire includes fully comprehensive insurance for peace of mind.

Do I need to pay a deposit?

A £500 deposit is required for all van hires. However, if you opt for our insurance excess waiver, which costs £15 per day, your deposit will be reduced to £250.

  • The standard insurance excess is £1,250, but with the waiver, this is reduced to £250.

Is there a mileage limit?

  • For hires of one day, a mileage limit of 250 miles applies.
  • For hires exceeding one day, unlimited mileage is included.

Do the vans come with breakdown cover?

Yes, all our vans include roadside assistance to ensure support in the unlikely event of a breakdown.

Can I cancel my booking?

Yes, our cancellation policy is as follows:

  • More than 48 hours before collection: Free cancellation
  • Between 24 and 48 hours before collection: £20 cancellation fee
  • Within 24 hours of collection: A full day’s rental charge applies
